Who Operates PawPass

PawPass is operated by Stodghill Consulting LLC. This policy covers the PawPass website, mobile application, and related services in the United States and Canada.

Information We Collect

  • Account information, including name, email address, profile photo, role, sign-in provider, account status, and policy-consent record.
  • Business information, including business name, location, contact details, ownership or claim evidence, staff memberships, training records, certificates, subscription status, and billing identifiers.
  • Community content, including reviews, ratings, access reports, incident logs, comments, photos, attachments, responses, and moderation history.
  • Location information when you choose browser or device location for nearby search. Ordinary nearby searches do not require PawPass to retain precise browser coordinates.
  • Search terms, filters, selected jurisdictions, categories, and listing interactions.
  • Payment and subscription information processed by Stripe. PawPass does not store complete payment-card numbers.
  • Technical and security information, including IP address, browser or device details, logs, audit events, cookie choices, and abuse-prevention signals.
  • Support and privacy-request information submitted through the PawPass contact form.

Why We Use Information

  • Provide accounts, search, listings, reviews, reports, handler resources, business tools, training, certificates, subscriptions, and support.
  • Display content you intentionally submit as public and maintain community attribution or an anonymized contribution history.
  • Moderate content, investigate reports, prevent fraud or abuse, enforce PawPass policies, and protect users and businesses.
  • Process subscriptions, invoices, refunds, claims, verification, and account changes.
  • Send necessary service communications about accounts, reviews, reports, claims, training, billing, safety, policy changes, and support.
  • Maintain, secure, troubleshoot, and improve PawPass.
  • Meet legal, accounting, security, and regulatory obligations.

Public Content and Sensitive Information

Reviews, ratings, profile names and photos, badges, business listings, and selected report outcomes may be public. Do not submit medical diagnoses, private disability details, government identifiers, passwords, payment-card numbers, or unnecessary information about another person. PawPass asks users to describe experiences without disclosing sensitive medical information.

Cookies, Device Permissions, and Location

PawPass currently uses essential cookies, local storage, and similar tools for sign-in, preferences, security, and core operation. Browser or device permissions for location, camera, photos, or notifications are requested only when needed for a feature and can be controlled in browser or device settings. PawPass will provide additional consent choices before enabling nonessential advertising or marketing trackers.

Service Providers and Sharing

PawPass may provide information to service providers that support authentication, hosting, databases, file storage, maps and search, email delivery, payments, security, and diagnostics. PawPass may also disclose information when required by law, to investigate fraud or safety concerns, during a lawful business transaction, or with your direction or consent. PawPass does not sell personal information.

International and Cross-Border Processing

PawPass is operated in the United States. Information from Canadian users may be transferred to, stored in, or processed in the United States by PawPass and its service providers. Information processed outside Canada may be subject to lawful access under the laws of that jurisdiction. PawPass remains responsible for using contractual, technical, and organizational safeguards appropriate to the information and service-provider relationship.

Retention and Deletion

  • Active account and profile information is retained while the account is open.
  • When an account is deleted, direct profile identifiers are removed or replaced where practical; public contributions may be retained in anonymized form for community integrity.
  • Support and privacy requests are retained while they are being handled and afterward as needed to document the response and legal compliance.
  • Security, moderation, incident, and audit records may be retained as needed to prevent abuse, resolve disputes, and document account or content actions.
  • Billing and transaction records may be retained for accounting, tax, dispute, and legal requirements.
  • Uploaded verification evidence is retained only while needed for verification, disputes, fraud prevention, or legal obligations, then deleted or de-identified according to PawPass procedures.
PawPass periodically reviews retained information and deletes, anonymizes, or restricts it when it is no longer reasonably needed for the stated purpose.

Security and Privacy Incidents

PawPass uses reasonable administrative, technical, and organizational safeguards designed for the nature of the information. No online system is completely secure. PawPass documents privacy incidents, evaluates their risk, and provides legally required notices to affected people and regulators.

Your Privacy Choices and Requests

You may request access to your personal information, an understandable copy of it, correction of inaccurate information, deletion of your account, withdrawal of optional consent, or review of a privacy concern. Use the PawPass contact form and choose the applicable Privacy category. PawPass may verify your identity before acting and will respond within the period required by applicable law. Some information may be retained or withheld where permitted or required by law, including information affecting another person, security, fraud prevention, disputes, and legal obligations.

Canada

Canadian commercial personal information may be protected by the Personal Information Protection and Electronic Documents Act (PIPEDA) and, depending on the activity and province, substantially similar provincial law. Canadian users may request information about PawPass's collection, use, disclosure, safeguards, access, correction, and complaint handling through the contact form. PawPass aims to respond to a complete, verified Canadian access request within 30 days unless applicable law permits an extension.

Quebec

For Quebec users, Stodghill Consulting LLC's highest-ranking officer acts as the person responsible for the protection of personal information unless that responsibility is delegated in writing. Contact that role only through the PawPass contact form using “Privacy - complaint or question.” PawPass applies privacy-protective defaults, identifies collection purposes, limits access and retention, evaluates material system and cross-border privacy risks, and maintains a process for privacy complaints and incidents.

Email and Marketing

PawPass may send service communications necessary to operate an account or requested feature. PawPass does not currently operate a general promotional email subscription. Before sending optional commercial electronic messages to Canadian recipients, PawPass will obtain and record consent where required and provide sender identification and a working unsubscribe method.

Age Requirement

PawPass accounts are for people age 14 or older. PawPass does not knowingly create accounts for children under 14. If PawPass learns that a younger child submitted personal information, a parent or guardian may use the contact form to request review and deletion.

Changes to This Policy

PawPass may update this policy as services and legal requirements change. Material changes will be identified by a revised effective date and communicated through the service when appropriate. PawPass will request new consent when required rather than treating continued use as consent in circumstances where the law requires an affirmative choice.

Contact PawPass About Privacy

The PawPass contact form is the sole public channel for privacy access, correction, deletion, and complaint requests. Choose a Privacy category at the contact form. Do not submit passwords, payment-card numbers, government identification numbers, or medical records.
